Christmas gift list template: who, what, how much, and is it wrapped?
A gift list sounds simple until it is the 19th of December and you cannot remember whether you already bought something for your nephew, or how much you have spent on the in-laws. A proper Christmas gift list template answers four questions at a glance: who is on the list, what you are getting them, what it costs compared with what you planned, and where it is in the process.
The columns that actually matter
- Recipient and group. Grouping people as family, kids, friends, work or neighbours lets you see where the money goes, and is the fastest way to find savings.
- Gift idea. Write ideas down the moment you hear them. People drop hints in October and forget them by December, and so do we.
- Budget. The amount you intend to spend on this person, decided before you shop.
- Actual cost. What you really paid, including shipping.
- Status. Idea, ordered, bought, wrapped, given. A status column turns the list into a to-do list.
- Where to buy / notes. A link, a size, or "check if it's in stock in the shop on Saturday".
Tips for a calmer gift season
- Start with the full list of names. Before ideas, before budgets. Missing someone is more stressful than any price.
- Set per-person budgets from a total. Decide what gifts can cost overall, then divide. If the sum of individual budgets is above the total, adjust now rather than at the till.
- Agree limits with family. A spending cap or a Secret Santa among adults is common and usually a relief for everyone.
- Order online early. Delivery times stretch in December. Mark items as "ordered" so you know what is still in transit.
- Track wrapping and cards too. They are small, but they add up and are easy to forget in the budget.
- Mark gifts as given. It sounds pointless, but it helps when you host several gatherings and gifts are handed out on different days.
A paper list vs. a spreadsheet
A notebook works if you buy for five people. Beyond that, a spreadsheet wins because it adds things up for you: total spent, total left, gifts still to buy, and which group is over budget. It is also searchable and you can keep it on your phone.

Buy now — €4 See what's insideOur Christmas Budget & Gift Tracker has a gift list for up to 100 people with recipient, idea, budget, actual cost and status from Idea to Given. Overspends turn red, and the dashboard shows gift status and spending by group. The gift list is connected to a full holiday budget, so gifts and the rest of Christmas (food, travel, decorations) stay within one total. See the Christmas budget spreadsheet guide for how the budget side works.
Reuse it next year
Save a copy after the holidays. Next year you will already know who is on the list, what you gave them (so you do not repeat yourself) and what each group really cost.
